eBay fulfillment for Canadian and U.S. sellers

Selling on eBay and running out of basement? With Kolineo’s eBay fulfillment, your sales are picked, packed and shipped the same day, so your seller standing stays strong while you focus on your listings.

Unique items packed for shipping

eBay fulfillment that protects your seller standing

On eBay, how you ship directly affects how visible your listings are. The platform tracks several performance metrics: late shipments, valid tracking uploaded on time, and transactions cancelled because an item was out of stock. A well-connected warehouse helps keep those metrics in the green.

An eBay 3PL integration typically works like this:

  • paid sales are pulled from your seller account, with the buyer’s address and the shipping service selected;
  • available quantities on your listings are adjusted from actual inventory, including multi-variation listings (size, color);
  • the order is marked as shipped with its tracking number, which informs the buyer and counts toward your metrics.

Kolineo ships orders the same day, which lets you advertise a short handling time on your listings. You follow inventory, order status and current operations in our system, from your phone or computer.

Setting up your eBay integration

Five steps to go from shipping at home to a warehouse.

  1. Review your sales

Number of listings, volumes, eBay sites used (eBay.ca, eBay.com), new or used items: we learn how you sell.

  2. Listings and SKUs

Every listing, and every variation, must be tied to a SKU in the warehouse. For long-time eBay sellers, this is often the most important step.

  3. Seller account connection

You authorize the access needed on your eBay account so sales and shipment confirmations can flow.

  4. Handling time and returns

Together we set the handling time you display and the return address, based on how the warehouse operates.

  5. Receiving and first shipment

Your inventory is received in Sherbrooke, then your eBay sales ship with tracking sent back to eBay.

eBay’s rules and how the warehouse helps you meet them

eBay rates every seller on a few key metrics. These are the ones most tied to shipping.

eBay requirement Why it matters How the warehouse helps
Handling time The number of business days you commit to ship after payment. Same-day shipping lets you advertise a short handling time and meet it.
Valid tracking eBay checks that each parcel has tracking uploaded on time and scanned by the carrier. Every parcel ships with tracking from a major carrier.
Late shipments Too many late deliveries hurt your seller level. 99.87% of orders ship on time.
Out-of-stock cancellations A sale cancelled because the item is gone counts against you. Accurate, real-time inventory limits sales of sold-out items.
Returns Your return policy appears on every listing. Returns can come back to the warehouse and be processed to your instructions.

Thresholds and seller programs vary by eBay site and change over time: check the current rules in your Seller Hub.

eBay fulfillment FAQ

What handling time should I display on my listings?

Since Kolineo ships orders the same day, a short handling time is realistic. The right setting still depends on when your sales come in and on exceptions such as weekends and holidays. We set it together before launch.

I sell used or one-of-a-kind items. Is a 3PL a fit?

It depends on your model. A 3PL works best with repeat products identified by a SKU and barcode. One-of-a-kind items need unit-level identification; tell us about your inventory and we’ll tell you honestly whether a warehouse is the right answer.

My listings have variations. Is stock tracked per variation?

Generally, yes, as long as each variation has its own SKU, identical in eBay and in our system. That’s the mapping we check with you during setup.

I sell on eBay.ca and eBay.com. Where do parcels ship from?

From Sherbrooke, we ship anywhere in Canada, the U.S. and worldwide. If your U.S. sales are significant, part of your inventory can sit in our Chicago warehouse for faster delivery without sending every parcel across the border.

How are eBay returns handled?

You set your return policy in eBay and can list our warehouse as the return address. Returned items are received and processed to your instructions. Returns management is part of our outsourcing services.

Can I sell the same inventory on eBay and Amazon?

Yes. That’s one of the perks of a shared warehouse: your eBay, Amazon and web store sales all draw from the same stock. See our Amazon integration page for that marketplace’s specifics.
