Privacy policy
Last updated: October 8, 2026. This policy explains what personal information Kolineo collects through its website, why, how long we keep it and how to exercise your rights. It takes into account the requirements of Québec’s Law 25.
Who we are
Kolineo is a third-party logistics (3PL) company whose head office and main warehouse are located at 5550 Bourque Boulevard, Sherbrooke, Québec J1N 1H3, Canada. Kolineo also operates a warehouse in Bolingbrook, Illinois.
This policy applies to personal information collected through the kolineo.ca website and its forms. Information we process on behalf of our clients as part of our logistics services, such as the shipping addresses on their orders, is governed by our agreements with those clients and is not covered by this policy.
Person in charge of the protection of personal information
The person in charge of the protection of personal information at Kolineo oversees the application of this policy. For any question, to exercise your rights or to file a complaint, write to the person in charge of the protection of personal information at Kolineo, at info@kolineo.com, or by mail at 5550 Bourque Boulevard, Sherbrooke, Québec J1N 1H3, Canada.
Information we collect
We collect only the information we need to respond to your requests.
Contact and quote forms
When you fill out our contact form or quote request form, we collect:
- your name and email address (required);
- your company name and phone number (optional);
- your approximate number of orders per month (optional);
- the content of your message, such as a description of your products and needs.
Cost calculator
The volumes you enter in the cost calculator (orders, pallets, containers, return rate, additional services) are used to calculate the estimate directly in your browser. They are sent to us, along with the resulting estimate, only if you submit the “Get my detailed estimate” form, together with the contact details and message you enter there.
Job applications
If you apply through the form on our Careers page or by email, we receive the information you choose to send us: contact details, message, résumé and cover letter.
Technical data
When you submit a form, we also record the page it was sent from, the language used, the browser type and an irreversible hash of your IP address, which helps prevent abusive submissions. Like most websites, our servers also keep technical logs (IP address, date and time, page requested) needed for the security and proper operation of the site.
Why we use it
We use your information only for the following purposes:
- answering your questions and your quote or estimate requests;
- preparing a quote and following up on any business relationship that results from it;
- reviewing your application, if you apply for a job;
- protecting the site and our forms against abuse and fraud.
Each form asks for your consent with a checkbox. If we ever want to use your information for another purpose, such as sending you a newsletter, we will ask for your consent first.
Who has access to your information
Only the members of the Kolineo team who need your information to handle your request have access to it. We also use service providers, such as website hosting and email, that process some information on our behalf and only for the purposes of that service.
If information is disclosed or stored outside Québec, we first assess whether it will receive adequate protection there, as required by law.
We do not sell your personal information, nor do we rent or trade it. We may disclose it without your consent only where the law requires or permits it, for example at the request of a competent authority.
How long we keep it
We keep your information for as long as needed for the purposes for which it was collected, then we destroy or anonymize it:
- contact, quote and estimate requests: for the duration of our discussions and any resulting business relationship, then for up to three years after our last contact;
- job applications: for up to twelve months after we receive them, unless you ask us to destroy them sooner;
- technical logs: for a limited time, as long as needed for the security of the site.
Some information may be kept longer where the law requires it, for example accounting records related to a contract.
Your rights
At any time, you can:
- access the personal information we hold about you;
- have it corrected if it is inaccurate, incomplete or ambiguous;
- withdraw your consent to its use, which may prevent us from following up on your request.
To exercise these rights, write to the person in charge of the protection of personal information at info@kolineo.com. We may ask you to confirm your identity. We will respond in writing within 30 days of receiving your request, as required by law.
If you are not satisfied with our response, you can contact the Commission d’accès à l’information du Québec.
Cookies
The site uses only the cookies it needs to work: a session cookie and a security cookie that protects our forms against fraudulent submissions. They are not used to track you across websites or for advertising.
The site does not currently use any audience measurement tool. If we add one, it will only be activated with your consent, and this policy will be updated.
Security
We take reasonable technical and administrative security measures to protect your information against unauthorized access, use or disclosure. Since no system is infallible, we ask that you not send sensitive information through our forms.
If a confidentiality incident presents a risk of serious injury, we notify the people concerned and the Commission d’accès à l’information, as required by law.
Changes and contact
We may update this policy, for example if our practices or the law change. The date of the last update appears at the top of this page; if we make a significant change, we will say so clearly on the site.
For any question: the person in charge of the protection of personal information at Kolineo, info@kolineo.com, 5550 Bourque Boulevard, Sherbrooke, Québec J1N 1H3, Canada, phone (819) 861-2354.
